STARTING EXAMINATIONS
1. Students shall not enter the examination room until permitted to do so by the Invigilator. On entering the examination room, students shall sit in the seats determined by the invigilator or as prescribed, on a seating plan.


2. When students are admitted, the Invigilator should instruct them:
a. that the examinations will be conducted in accordance with the Colleges Policies and procedures;
b. that, other than bottled water, students are not permitted to eat, drink or smoke in the examination room;
c. that they shall remain silent within the examination room, other than to communicate with an Invigilator;
d. to leave all bags, mobile phones and additional clothing away from the desks (usually at the front or rear of the examination room).
e. that small items, such as keys, money etc. may be placed on the desk. This will be subject to inspection by invigilators during the course of the examination;
f. to take their prescribed seats as quickly as possible;

 

When all the students are seated, the Invigilator should instruct them as follows:
a. to fill in the attendance form and put it at the top of the desk to be collected by an Invigilator;
b. to place Student ID cards in a prominent position on the desk for verification, if required;
c. to pay particular attention to the instructions on the script cover, emphasising the need for accuracy under the anonymous marking scheme;
d. that students should not leave their desks without permission. Should a student require further stationery, or wish to ask a question, they should raise their hand and wait until an Invigilator attends them;
e. of the duration and end time of the examination, indicating the clock to be used for time-keeping;
f. that students may not leave the examination room during the first hour or the final fifteen minutes of the examination session;
g. that they will be given a time-check 15 minutes before the end of the examination;
h. that they may now start.

After a few minutes, the Invigilators should walk along the aisles, checking Student ID cards and also that students have not left bags, notes or other unauthorised material near or on their desks. Any such material should be moved to the rear of the examination room.

LATE ARRIVAL OF STUDENTS
1. Except in special circumstances, students will not be permitted to enter the examination room after one hour from the commencement of the examination.
2. The admission of a student over one hour after the start of the examination is at the discretion of the Invigilator, but in all cases, the student’s name, time of arrival and reason for lateness must be noted on the Invigilator’s report form, a copy of which should be forwarded to the Academic Principal.
3. A student who arrives late, or who is absent from the examination room for part of the examination, will not be permitted to continue beyond the finish time appointed for the end of the examination.


LEAVING THE ROOM DURING AN EXAMINATION
1. Except in cases of illness, or to visit the toilet, a student may not leave the examination room:
a. before one hour after the commencement of the examination;
b. during the final fifteen minutes of the examination.
2. A student who completes a script between the times noted above may leave the examination room after asking permission of the Invigilator, and after handing in the completed script.


3. A student who leaves the examination room for any reason earlier than one hour after the commencement of the examination shall not be permitted to remove the question paper or any other written material.


4. A student who leaves the examination room for any reason (other than after handing in a completed script) shall be accompanied by an Invigilator.


USE OF DEVICES, AIDS AND DICTIONARIES
1. No student shall make use of any device, book, manuscript or other extraneous aid, including calculators, computers, phones or other devices except as permitted by the examiner. Details of any such aids which may be used in the examination will have been notified to students in advance and a copy of this information will be provided to the Invigilator.
2. Language dictionaries shall not be used in any examination except where the Academic Principal has given a student special permission in advance to use a foreign language. These dictionaries, when permitted, must be checked by the invigilator to ensure they have not been written on.


ENDING EXAMINATIONS
1. Fifteen minutes before the end of the examination the Invigilator should advise students of the time remaining.


2. At the appointed time, the Invigilator should instruct the students:
a. to stop writing;

to ensure that all answer books bear the student’s examination number and the question number(s);
c. to ensure that any graph paper and/or other supplementary sheets bear the student’s name, ID number and the question number(s), and are securely attached to the appropriate answer book;
d. to write the numbers of the questions attempted, in the order in which they have been attempted, in the column of the grid on the front of the answer book(s);
e. to ensure that continuation answer books, if used, are appropriately inserted in the answer book;
f. that no examination stationery may be removed from the examination room;
g. to remain silent and in their seats until instructed that they may leave.


3. Invigilators should collect the scripts, checking that each student has entered the relevant information on the script cover.


4. Immediately after collecting the scripts, the Invigilators should count them and check them against the list of students and against the attendance forms.


5. The completed scripts should be placed in the envelope provided, together with the list of students, and attendance forms and a copy of the examination question paper. The envelope should then be sealed and delivered to the Academic Principal (or delegate) immediately after the conclusion of the examination.


6. Before leaving the examination room, the Invigilator should ensure that no scripts have been inadvertently left behind.


7. The completed Invigilator’s report form should be returned to the Academic Principal.


MALPRACTICE AND BREACH OF REGULATIONS


1. If an Invigilator has reason to believe that a student is guilty of examination malpractice, the Invigilator shall immediately inform the student that he or she will be reported to the Academic Principal as soon as possible after the examination. The Invigilator shall mark the script immediately below the last line written by the student, note the time on the script, and sign it. The student will be permitted to complete the examination and retain the script for the duration of the examination, but any prohibited material should be removed where practicable.


2. The Invigilator shall immediately inform any other Invigilators in the examination room (where applicable) of the position, and the action which has been taken.


3. At the end of the examination, the Invigilator shall remind the student that a report will be made to the Academic Principal. The student should also be informed that he or she should see the Academic Principal as soon as possible.


4. The Invigilator shall report the circumstances of the incident to the Academic Principal (or delegate) immediately after the examination.


5. Any breach of the Examination Regulations for Students may constitute examination malpractice, and must be reported in writing by the Invigilator to the Academic Principal (or delegate) immediately after the examination.


6. Any deviation from the practice laid out in these Invigilation Procedures should be discussed with the Academic Principal immediately after the examination.
